Viewing Your Account Information

The Views tool allows you to control the way your account information is displayed. You can use this tool to format your monthly ledger, create monthly statements, draw graphs of your account activity and budgeting and see the details of a specific transaction. You can also use the Account Balance utility to see a capsule statement of your current account balances.

How to format your monthly ledger

You can choose to see accounts listed by whether they are a debit or credit, or by the payee. You can also choose whether you want to see tags, or transactions that have been reconciled and cleared.

1. Touch{Views icon}

2. To see your transactions by debit/credit, select Index-Normal from the Views menu. (When selected, this option will have a check in front of it.)

3. To see your transactions by the name of payee, select Index-Payee. (When selected, this option will have a check in front of it.)

4. To see transactions that have been reconciled and cleared, select Index-Show Cleared. (When selected, this option will have a check in front of it.)

5. To see transactions that have been tagged, de-select Index-Show Cleared. (When de-selected, this option will not have a check in front of it.)

How to create a monthly account statement

1. Use Show: to select the account where the statement will be created, then touch the appropriate month's tab.

2. Touch {Views icon} From the menu, touch Statement.

3. Your monthly statement will be displayed on the screen. Use the scroll bar to the right of the screen to move up and down the statement sheet.

How to print/fax/transfer your monthly account statement

Z-Finance does not do this

While your statement is displayed on the screen, you can send it to your printer, fax it or transfer it to another Zaurus. To output your statement in any of these ways:

1. Touch the DOCUMENTS accessory button on your Zaurus.

2. Touch Send and select Unit to Unit, Print or Fax.

3. For more information on these output options, consult your Zaurus manual.

How to create graphs of your accounts

There are three types of graphs you can select from the Views menu:

1 Month Balance -- A line graph of your balance for a selected month.

6 Month Balance -- A line graph of your balance for a 6 month period, starting from the month .

6 Month Budget Graph -- A bar graph that shows spending for up to 4 separate budget categories.

To produce any of these graphs, open the Views menu and select one of the three graphs. The 1 Month graph will report on the account and month which is open on the Account Ledger screen. The 6 month graphs will report on the account in the ledger screen, starting with the month selected on the screen.

Graph Operations

Cross Hairs. Touch anywhere in the graph area to line up the cross hairs. The crosshairs let you accurately read the X and Y coordinates on the graph.

Graph Information. This window shows the date and amount where the cross hairs are pointing. If this window is in the way of the data you want to read, you can drag it to a new position on screen by touching the frame of the window and then dragging it with the touch pen.

Printing/Faxing/Transferring the graph. To output the graph while it appears on the screen, touch the DOCUMENTS accessory button on your Zaurus. Then touch send and select Unit to Unit, Print or Fax.

Z-Finance does not do this

Budget Categories. When the Budget Graph is on the screen, you can choose up to four budget categories to be displayed at one time. At the bottom of the screen, touch the <left> and <right> arrows to scroll through the list of budget categories. When you see a category you wish to graph, touch it. When selected, the category will have a box in front of it, indicating the shading of that category's bar on the graph.

To exit the graph screen, touch Done.

Graph Accuracy

All positions on graphs are shown to the nearest unit of currency. Example: a value of $70.50 will be graphed as 70.00. As a result, you should only use the figures in the stats window as a rough guide to the balance of your account. Please refer to your Statement to find the exact balance of your account on any particular day.

How to view details about a specific transaction

To see a detailed explanation of any transaction, highlight the transaction in the Account Ledger. Then from the Views menu, select Details. The Edit Transaction window will appear, allowing you to view and/or change the transaction information.

How to see a capsule of your account balances

From the Utils menu, select Show Balances. A list of all your accounts and their current balances is displayed on the screen, with a net balance at the bottom. Search Functions

Z-FINANCE provides two powerful utilities that help you locate specific transactions quickly and easily. Search lets you locate transactions by name, date, payment type or budget category. Calendar lets you find a transaction by scanning the days of the month when transactions occurred.

How to use Search

1. Touch the SEARCH accessory button on your Zaurus. The SEARCH window will be displayed.

2. To search for a name, type in the first characters of a word that appears somewhere in the Payee or Comments fields of the transaction.

3. To limit your search to a certain account, touch the Search Menu to select an account.

4. To search for transactions that took place within a certain range of dates, touch the Limit By Date range box. Then touch the Change screen buttons to set the limits of the date range.

5. To search for transactions of a certain payment type, touch the Match Payment Type box. Then touch the Change screen button to choose a payment type.

6. To search for transactions that went toward a specific budget category, touch the Match Budget Category box. Then touch Change to choose a budget category.

7. Once you have entered all the search criteria, touch Search. If there are no entries found, an appropriate message will be displayed, otherwise a window will appear showing the found entry. Use the PREV and NEXT screen buttons to see the previous or next entry matching your search criteria.

7. When you find the entry you are looking for, touch Go to to see the displayed entry in the Account Ledger. Or if you are done, touch Cancel.

How to find a transaction with the Calendar

1. Select Calendar from the Utils menu.

2. Use the arrow keys to select the month to search.

... IF required you can also use SHIFT and PREV / NEXT on your Zaurus keyboard to move forwards or backwards a whole year.

3. Dates with one or more entries are denoted by a dot next to the date.

4. To see the transactions that took place on a certain date, touch the date.
