SynchroLynx for Excel

What is SynchroLynx for Excel?

SynchroLynx is a product which is added onto Microsoft Excel to allow communicating spreadsheets between Excel on the PC and the Zaurus.

Spreadsheets which exist in both Zaurus and Excel are linked to each other. SynchroLynx keeps track of changes for you. With a click of the mouse, SynchroLynx updates changes to the PC and the Zaurus.

SynchroLynx gives you the power to keep your Zaurus spreadsheets and Excel spreadsheets in synch.

Starting SynchroLynx for Excel

Once you have installed SynchroLynx, a Zaurus menu item will appear in Excel. To start SynchroLynx, simply select the Zaurus menu.

When you first choose the Synchronize Wizard, Export Wizard or Import Wizard, SynchroLynx will prompt you to fill in some Settings. While you may edit these settings at a later time desired, you will be prompted only one time.

If you select Export Wizard or Import Wizard as the first selection, you will be asked if you want to enable synchronization for this Zaurus.

If you are importing or exporting spreadsheets which you will synchronize, select yes. This enables SynchroLynx to make a link between the exported or imported spreadsheets for synchronization.

This message will only be displayed once. If you click No to this enable message, you can enable synchronization simply by selecting Zaurus from the Excel menu, then selecting Synchronize Wizard.

Spreadsheet Limitations

Because of the difference in functionality between MS Excel and Zaurus documents, certain limitations exist.

Workbook vs. Spreadsheet

Excel maintains spreadsheets within a workbook, which may contain several sheets. On the Zaurus, each spreadsheet is a discrete file. This impacts the way SynchroLynx is able to identify a change to an Excel spreadsheet. When several sheets within an Excel workbook are linked to individual spreadsheets on the Zaurus, and one sheet is updated in Excel, the next time Synchronization occurs, all of the sheets will appear modified.

Unique Names

Zaurus allows for the same name to be used for more than one spreadsheet. The PC (Windows 95) does not. If you export a spreadsheet to the Zaurus twice, you will get two documents by the same name. Only the one which was exported first will retain a link to the PC spreadsheet. To reduce the risk of confusion, it may be advisable to keep each document on the Zaurus with a unique name.

NOTE: You may have two spreadsheets on the PC with the same name if they are stored in workbooks with different names.

Name length

File names on the Zaurus may be up to twenty characters long, but may be longer than that on the PC. Names which are two long on the PC are truncated when exported to the Zaurus.

Formulas and Functions

Excel formulas and functions which exist on the Zaurus will be communicated. Any formulas which are used in Excel which do not exist on the Zaurus will not be communicated.

Embedded graphs

Graphs and charts may be embedded directly into an Excel spreadsheet. This feature does not exist in Zaurus. Graphs and charts will not be communicated between the Zaurus and Excel.

File Size

A spreadsheet may be much larger on the PC than it can be in Zaurus. If a spreadsheet is exported to Zaurus which is too large, it will be truncated to fit Zaurus spreadsheets.

Synchronize

What is Synchronization?

Synchronization of spreadsheets is a whole new idea in spreadsheet maintenance. SynchroLynx will keep track of changes to linked spreadsheets on the Zaurus and in Excel. When you synchronize, SynchroLynx will tell you what changed and will update the files.

For example, suppose there are four spreadsheets

  • Check Register
  • Expenses Project X
  • Our mortgage
  • Project X Financials

all of which are on the Zaurus and Excel. You modify the "Check Register" on Zaurus and "Expense Report X" in Excel. You delete "Our mortgage" from Zaurus. When you synchronize, SynchroLynx keeps track of the changes and allows you to select the action to take:

Spreadsheet Link

In order for SynchroLynx to recognize a spreadsheet in Zaurus and spreadsheet in Excel to be the same, a link must be made between them. Once linked, SynchroLynx will keep track of changes to each and allow modification to be made to one source based on changes made to the other.

Spreadsheets can become linked in several ways:

First Synchronization

If no links are already in place when Synchronization is performed, SynchroLynx will receive the names of Zaurus spreadsheets and list them in the Synchronize Wizard grid for adding to PC. Once added to the PC, the PC spreadsheets and Zaurus spreadsheets are linked.

Export

Spreadsheets which are exported from the PC to the Zaurus are linked. Synchronization which occurs thereafter would show the exported spreadsheets linked to the PC spreadsheets from which they were exported.

Import

Spreadsheets which are imported from the Zaurus to the PC are linked. Synchronization which occurs thereafter would show the imported spreadsheets linked to the Zaurus spreadsheets from which they were imported.

Synchronize Wizard

The Synchronize Wizard provides a grid for selecting the documents to synchronize.

Synchronization can occur in two ways:

First (Full) Synchronization

When you first install SynchroLynx, no links are established between any spreadsheets. If links are established between spreadsheets, SynchroLynx performs a normal synchronization, not a Full Synchronization. If no links have been established between spreadsheets, and the Synchronize Wizard is chosen, SynchroLynx will receive the names of the Zaurus spreadsheets and list them in the Synchronize Wizard grid. These spreadsheets will be marked as new. You may choose between the Actions Add to PC and Unlink, which will remove the spreadsheet from the grid for future synchronization.

Normal Synchronization

When a synchronization is performed for linked documents, SynchroLynx lists all the linked documents in the Synchronize Wizard grid with the changes made to either source listed in the grid. From within the Action column of the grid, select what SynchroLynx should do in order to update the documents.

How To Synchronize

  1. Put Zaurus in PC Link mode.
  2. Open Excel.
  3. Select Zaurus from the Excel menu.
  4. Select Synchronize Wizard.
  5. Select the Spreadsheets to synchronize and the appropriate action.
  6. Click Synchronize.

Synchronizing an Excel Workbook with Zaurus for the first time

An Excel Workbook may contain several spreadsheets. Zaurus has no comparable feature. When a link is made between Zaurus and Excel, the link is maintained for a particular sheet within the Excel Workbook.

To synchronize an entire workbook, you must first export the sheets from within the workbook to make the link between the spreadsheets.

  1. Select Zaurus, Export Wizard.
  2. In the Export file name window, select the workbook which contains the sheets to export.
  3. Click Open.

From the Export Wizard grid, the first sheet of the selected workbook will be displayed in the grid. To add sheets from this workbook:

  1. Click add.
  2. Select the same workbook.
  3. From the Export Wizard grid, the first sheet of the selected workbook will be displayed in the grid. To change the sheet to export:
  4. Select the record to change by clicking on it in the grid in the Excel sheet column
  5. Click the down-arrow to the right of the Excel sheet column
  6. Select the sheet to export
  7. Continue with steps 1-6 until all the desired sheets appear in the grid.
  8. Click Export

Once the export is done and the sheets are linked, each time you synchronize, the updates will be made to the appropriate sheet.

A change which is made in Excel to a single spreadsheet within a workbook will result in SynchroLynx identifying every sheet as changed. Since a workbook is a whole unit to Excel, the whole thing is considered changed to the PC. Example:

  • You export several sheets in a workbook "Bank Register" to the Zaurus:

Loan Payments

  • You open Excel and make changes to Savings Register.

The next time you synchronize, all three sheets will indicate that they have changed with the default action of update Zaurus.

How to synchronize multiple sheets within an Excel Workbook when only one sheet in the Workbook has changed

Once you have made a link between several sheets on the Zaurus and individual sheets within a single workbook in Excel, each time a sheet is changed within the Excel workbook, every sheet will appear as modified in the Synchronize Wizard grid. You need to decide how SynchroLynx will update the different sheets while maintaining the most current data in both sources.

Scenario1

You have an Excel workbook which has 3 sheets in it:

You export each sheet in the workbook to the Zaurus, and they are in synch. You make changes to a single sheet in the workbook. You should be careful to choose in the Synchronize Wizard grid the action which most appropriately matches what you want to do:

Update all sheets

You may select to update all the Zaurus sheets. If you have exported the sheets from the PC and made no changes to the Zaurus, updating all the sheets will cause no harm, and SynchroLynx will consider all sheets in synch.

Update sheets individually

You may select the sheets to update on the Zaurus. If you have made changes on the Zaurus to a different sheet, you may select to update the PC for that sheet.

Export

Export Wizard Open Workbooks

Use the Export Wizard to export spreadsheets from the PC in Excel format to the Zaurus. When the Export Wizard option is selected, you will be prompted to select the workbooks which contain the spreadsheets to Export.

You may only select workbooks from one folder on this screen, but you will be able to add spreadsheets from other folders later. Select the workbooks and click Open. Continue

Export Wizard

The Export Wizard grid is displayed once the workbooks are selected. The Export Wizard grid is used to choose the workbooks to export and the sheets within the workbook to export.

Remove a spreadsheet from the list by selecting it then clicking Remove. Change the spreadsheet in the list by selecting it and clicking the button which appears.

Add a document by clicking the Add button or by clicking the blank line at the bottom of the grid and clicking the button which appears.

When the spreadsheets to be exported are selected, click Export.

Since Excel has the workbook feature and Zaurus does not, sheets within a workbook are exported, not the entire workbook. You may export each sheet within a workbook separately, if desired.

Exporting Directly from the Windows Desktop or Windows Explorer

SynchroLynx offers not only connectivity embedded in Excel, but also you can Export spreadsheets directly from the Windows Desktop or Windows Explorer. Simply right click on the file on the Desktop or in Explorer and select Export to Zaurus.

If set to automatically export the first sheet on direct import, when you select Export to Zaurus from a right click, the first sheet in the workbook will be exported.

If not set to automatically export the first sheet on direct import, a dialog box will be displayed prompting you to select the sheets from the workbook to export.

How To Export

How To Export from inside Excel

  1. Put the Zaurus in PC Link mode.
  2. Select Zaurus from the Excel menu.
  3. Select Export Wizard.
  4. Select the spreadsheet(s) to export from one folder.
  5. Click Open.
  6. If desired, change the Zaurus spreadsheet name, add spreadsheets to be exported from other folders or remove any spreadsheets from the list of documents to be exported.
  7. Click Export.

How To Export a document from the Windows Desktop or Windows Explorer

  1. Put the Zaurus in PC Link Mode.
  2. Select the workbook that contains the spreadsheet(s) to export.
  3. Right click the workbook.
  4. Select Export to Zaurus.
  5. If prompted, select the sheets to export.

In Settings, you can set whether or not to automatically send the first sheet in a workbook on direct export. If you are not prompted for the sheet to Export, the first sheet was sent due to this setting.

Import

Import Wizard

Use the Import Wizard to Import spreadsheets onto the PC in Excel format. When the option is taken, SynchroLynx will retrieve the spreadsheets’ names if set to do so. The spreadsheets’ names available on the Zaurus will be displayed so that you may select the spreadsheets to import.

To change the name of the PC destination spreadsheet, double click on the name in the Excel sheet column.

How To Import

  1. Put Zaurus in PC Link mode.
  2. Open Excel.
  3. Select Zaurus from the Excel menu.
  4. Select Import Wizard.
  5. Select the spreadsheets to import, and, if desired, the destination folder on the PC for the spreadsheets to be saved in.
  6. Click Import.

Settings

Settings

The Settings option from the Zaurus menu allows you to change settings about the way SynchroLynx operates. There are two Tabs on the setting screen, Excel and Communication.

Excel Settings

Default spreadsheets folder

Select the default folder for storing spreadsheets on the PC. Click the Browse button to select from the available folders.

Automatically export first sheet during direct export

Select whether or not you want to automatically export the first sheet in an Excel workbook to the Zaurus when a spreadsheet is exported directly from the Windows Desktop or Windows Explorer. Otherwise you will be given a choice of which spreadsheet within the workbook to export.

Automatically refresh Zaurus spreadsheets

Select whether or not SynchroLynx should automatically get Zaurus spreadsheet information when you begin an Import. If you choose to automatically refresh, each time the Import Wizard option is selected, SynchroLynx will connect to the Zaurus and receive the spreadsheet names. If you choose not to automatically refresh, SynchroLynx will display the names of the spreadsheets which were available from the last time the names were retrieved from the Zaurus.

Default action for delete

Select the default action when a spreadsheet is deleted from a source. If a document is deleted on one, should the link be removed, leaving the document on the other source, or should the document be deleted.

Excel Settings - Communication

The Communication Settings screen is used to select important information about the use of SynchroLynx. The settings selected here will be applied for all appropriate places in SynchroLynx.

  • Select the communication device which you use to connect the Zaurus to the PC.
  • Select the Com port on the PC that the communication device is plugged into. If you do not know, simply put the Zaurus in PC Link mode and click the Detect Zaurus button. SynchroLynx will search until it finds the correct Com port and communication device.
  • Select to Synchronize, Import and Export using the Zaurus Main memory or Card memory. For more information about Zaurus memory, see the Zaurus Operation Manual.
  • Select whether or not to disconnect the Zaurus after each transfer of Synchronization, Import and Export.
