SynchroLynx for Word

What is SynchroLynx for Word?

SynchroLynx is a product which is added onto Microsoft Word to allow communicating documents between Word on the PC and the Zaurus.

Imagine exporting documents to the Zaurus before going on a trip, and editing them on the Zaurus while on the road. Wouldn’t it be great if you could then have your Word document updated with the changes you made to the Zaurus? Even better, wouldn’t it be great if the changes to the Zaurus could be marked as revisions to the Word document?

Imagine being able to edit documents in either Zaurus and Word, then update the changes with a click of the button. No remembering which documents were changed.

Imagine importing a Zaurus document to Word and being able to edit whichever is more convenient. Then, with the click of a button, being able to keep Word and Zaurus in synch.

Now you can, with SynchroLynx for Word!

SynchroLynx gives you the power to keep your Zaurus documents and Word documents in synch.

Document synchronization is not available with the Zaurus 5000 model. You can import and export documents, but cannot synchronize.

Starting SynchroLynx for Word

Once you have installed SynchroLynx , a Zaurus menu item will appear in Word. To start SynchroLynx, simply select the Zaurus menu.

When you first choose the Synchronize Wizard, Export, Export Wizard or Import, SynchroLynx will prompt you to fill in some Settings. While you may edit these settings at a later time desired, you will be prompted only one time.

If you select Export, Export Wizard or Import Wizard as the first selection, you will be asked if you want to enable synchronization for this Zaurus.

If you are importing or exporting documents which you will synchronize, select yes. This enables SynchroLynx to make a link between the exported or imported documents for synchronization.

This message will only be displayed once. If you click No to this enable message, you can enable synchronization simply by selecting Zaurus from the Word menu, then selecting Synchronize Wizard.

: Document synchronization is not available with the Zaurus 5000 series model. You can import and export documents, but cannot synchronize.

Document Limitations

Because of the difference in functionality between MS Word and Zaurus documents, certain limitations exist.

Format

Word offers many more formatting options than the Zaurus. In Word you can add frames, tables, graphics, borders, shading and many more features not offered by Zaurus. As a result, documents which contain a lot of Word formatting features not available on the Zaurus are communicated to the Zaurus with as much text and format retained as possible.

If you want to send a document to the Zaurus which uses a lot of Word formatting features, you may want to make sure that the SynchroLynx Settings are set to mark revisions to the Word document. In this way, any formatting which is lost when the document is sent to the Zaurus is retained by the Word document. The revisions indicate the changes made to the Zaurus without removing the formatting in Word.

Unique Names

Zaurus allows the same name to be used to identify more than one document. The PC (Windows 95 or NT 4.0) does not. If you export a document to the Zaurus twice, you will get two documents with the same name. Only the one which was exported first will retain a link to the PC document. To reduce the risk of confusion, it may be advisable to store each document on the Zaurus with a unique name.

Name length

Document names on the Zaurus may be up to twenty characters long, but may be longer than that on the PC. Names which are too long on the PC are truncated when exported to the Zaurus.

Document Size

A document may be much larger on the PC that it can be in Zaurus. If a document is exported to Zaurus which is too large, you will be given a choice to either:

truncate : cut the document off so that it will fit as a single document

split : split the document into several Zaurus documents

Cancel : Cancel the export

File Name

A Zaurus file name may contain slashes (\, /), a PC file name may not. A Zaurus file name may contain question marks (?), a PC file name cannot. You cannot import or synchronize documents with Zaurus files names which are not valid on the PC.

Synchronize

What is Synchronization?

Synchronization of documents is a whole new idea in document maintenance. SynchroLynx will keep track of changes to linked documents on the Zaurus and in Word. When you synchronize, SynchroLynx will tell you what changed and will update the files.

For example, suppose there are four documents:

  • Letter to Frank
  • Project X Proposal
  • Weekly Meeting Agenda
  • Letter to Mom and Dad

all of which are on the Zaurus and Word. You modify the "Letter to Frank" on Zaurus and "Project Z Proposal" in Word. You delete "Weekly Meeting Agenda" from Zaurus. When you synchronize, SynchroLynx keeps track of the changes and allows you to select the action to take:

Document Link

In order for SynchroLynx to recognize a document in Zaurus and document in Word to be the same, a link must be made between them. Once linked, SynchroLynx will keep track of changes to each and allow modification to be made to one source based on changes made to the other.

Documents can become linked in several ways:

First Synchronization

If no links are already in place when Synchronization is performed, SynchroLynx will receive the names of Zaurus document and list them in the Synchronize Wizard grid for adding to PC. Once added to the PC, the PC documents and Zaurus documents are linked.

Export

Documents which are exported from the PC to the Zaurus are linked. Synchronization which occurs thereafter would show the exported documents linked to the PC document from which they were exported.

Import

Documents which are imported from the Zaurus to the PC are linked. Synchronization which occurs thereafter would show the imported documents linked to the Zaurus documents from which they were imported.

Synchronize Wizard

The Synchronize Wizard provides a grid for selecting the documents to synchronize.

Synchronization occurs in two ways:

First (Full) Synchronization

When you first install SynchroLynx, no links are established between any documents. If links are established between documents, SynchroLynx performs a normal synchronization, not a Full Synchronization. If no links have been established between documents, and the Synchronize Wizard is chosen, SynchroLynx will receive the names of the Zaurus documents and list them in the Synchronize Wizard grid. These documents will be marked as new. The available actions will be Add to PC and Unlink. Select Unlink for documents which you do not want linked to a PC document and which you do not want to see in the grid anymore.

Normal Synchronization

When a synchronization is performed for linked documents, SynchroLynx lists all the linked documents in the Synchronize Wizard grid with the changes made to either source listed in the grid. From within the Action column of the grid, select what SynchroLynx should do in order to make update the documents.
