Schedule+ Specific Information

Schedule+ Specific Information

New in SynchroLynx version 2.0

  • Synchronization of Events supported. Synchronize Birthday / Anniversary entries on the Zaurus with Events in Schedule+.
  • Separators can be defined individually for each field mapping.
  • A Reset button is provided to return Field Mapping links to the original default.
  • All the common infrared devices are supported.
  • Existing Zaurus links will be preserved.
    This feature is not available with Zaurus 5000 models.
  • The Settings screen is no longer part of the Synchronize, Import and Export Wizards. The communication properties are in a separate Settings option from the Zaurus menu.
  • An option has been added to the menu Synchronize Now, for truly one click synchronization.
  • An option has been added to filter data not only for Import and Export, but also for Synchronization. You can reduce the amount of Zaurus memory that is used by filtering only the immediately necessary information from Schedule+ based on the number of weeks before and after the current date.

Application Mapping

Application Mapping

When you click a button in the Application column of the Application selection screen, select the Zaurus application(s) to communicate with the corresponding Schedule+ application.

The Application button is particularly important for the Contact information being synchronized, imported, and exported between the Zaurus and Schedule+. Since Zaurus maintains three contact files and three data files (which can be used as contact files) and Schedule+ only has one Contact file, SynchroLynx needs information about what contact information to synchronize, import, and export.

Select which Zaurus contact and data files you want to synchronize with Schedule+ by checking them in the far left corner.

Click the Change button to specify specific information that SynchroLynx needs to synchronize multiple Zaurus contact files with a single Schedule+ contact file.

Schedule+ User Field IDs

After clicking the Change button from the Application Mapping screen, you can modify this information.

The contact file ID in Zaurus must be stored in one of the Schedule+ User Defined fields in order for SynchroLynx to keep track of which contact file to synchronize a particular contact record with. Specify the Schedule+ User Defined field to store this information.

For any contact entries which are added to Schedule+ and contain no Zaurus contact file ID, specify which Zaurus contact file to put the entry.

This information only needs to be set once for all contact files. Any changes which are made are made for all contact files.

Multiple Contact Files in Zaurus

To maintain synchronization between several Zaurus contact files and one PIM contact file, SynchroLynx makes use of a PIM user-defined field. The Zaurus contact file ID (i.e. C1, C2, C3) is stored in one of the PIM user-defined fields.

For instance, you use three contact files on the Zaurus. Perhaps you call them Customers (1), Sales Leads (2) and Personal (3). You select to Store Zaurus Contacts/Data Files ID in PIM user defined field 1 (User1). For each person entered in the Customer contact file on the Zaurus, the corresponding PIM entry will have "C1" entered in the User1 field. In this manner, SynchroLynx can synchronize changes between Zaurus and the PIM.

Schedule+ and Zaurus Incompatibilities

Error and Warning Conditions

The following is some of the most common conditions which will cause an Errors and Warnings screen to be displayed during Synchronize, Import or Export:

There are more than a total of 32 projects assigned to the To Do's which are being communicated to the Zaurus.

Error

The Project for a Schedule+ To Do entry is mapped, by default, to Label for a Zaurus To Do. There are only enough spots in the Zaurus for 32 labels. If there are more than 32 projects assigned to the To Do entries, an error message will occur.

Lessen the number of projects used, or filter the To Do data in such a way as to reduce the To Do entries which are communicated, thereby reducing the number of projects being communicated.

Individual Schedule+ field contains more than 2K (kilobytes ) worth of data.

This is a fairly rare occurrence.

Error

Each Zaurus field (i.e. Appointment and To Do description or Contact Name or Address) can only contain a maximum of 2K worth of data. If you have a Schedule+ entry which has an individual record with more than 2K of data, an error will occur and that record will not be communicated to the Zaurus.

This could happen with very large descriptions.

Identify the offending record and delete some of the data.

Feature Differences and Their Effects

There are differences in features between the Zaurus and Schedule+ that do not result in an Error or a Warning about which you may want to be aware.

Zaurus Appointment Start Time is after the End Time.

While Zaurus allows a Start Time which is after the End Time for the same day, Schedule+ does not. When an appointment in this condition is communicated to Schedule+, the resulting Schedule+ record will be from the Start Time to the End Time of the following day. For example:

A Schedule+ appointment is set to All Day.

Zaurus does not have a similar All Day feature. An appointment which is added to Schedule+ as All Day is communicated to the Zaurus from 12:00AM to 11:59PM of that day.

Project name has more than 12 characters.

The Project for a Schedule+ To Do entry is mapped, by default, to Label for a Zaurus To Do. The Zaurus label may have no more than 12 characters. When a Project is added with more than 12 characters, a Warning will be displayed. The To Do entries will be added to the Zaurus and the label will be truncated.

When a change is made to this Zaurus To Do entry, and then synchronized with Schedule+, the Schedule+ project is changed to the truncated label.

When you click a button in the Application column of the Application selection screen, select the Zaurus application(s) to communicate with the corresponding Organizer Section.

The Application button is particularly important for the Contact information being synchronized, imported, and exported between the Zaurus and Organizer. Since Zaurus maintains three contact files and three data files (which can be used as contact files), information about which contact files to communicate with and the Sections with which they belong is crucial.

Select the Zaurus applications you want to synchronize, import or export.

Organizer Database / Section

After clicking Change from the Application Mapping screen, select the Organizer database and Section with which to communicate this Zaurus application.

Since Lotus Organizer supports the concurrent use of multiple data files, SynchroLynx allows you to select different organizer files for synchronizing with the different Zaurus applications. Select the Organizer Section (Tab) for this Zaurus data. For more information on Organizer Sections, see the documentation accompanying Lotus Organizer. Each Zaurus application (Appointment, To Do and Each Contact file) can be communicated with only one Lotus Organizer section. For more information on Lotus Organizer sections, see the Lotus Organizer documentation.

How do I change the Organizer file I am communicating with?

To change the Organizer file with which to communicate a particular Zaurus application:

  1. Open Lotus Organizer.
  2. Open the Organizer file you wish to use by selecting File, Open and selecting the appropriate file.
  3. Make sure the file is saved as a multi-user file by selecting File, Save As.
  4. Under Save As Type, select Multi-user access Organizer.
  5. Click Save. You will be prompted to over-write the file. As you are saving the file by its own name, this is not problematic.
  6. From the Organizer menu, select Zaurus, and the operation that you wish to perform (i.e. Synchronize).
  7. For the Zaurus application you wish to change, click the Application button.
  8. For each Zaurus application you wish to change, select the application with a single click and click the Change button.
  9. Enter the full path and file name in the Organizer Database Name field by typing or by clicking the Browse button.
  10. Select the Lotus Organizer section to communicate the Zaurus application with.
  11. Click OK.
  12. Click OK.

Organizer and Zaurus Incompatibilities

Error and Warning Conditions

The following is a list of the most common conditions which will cause an Errors and Warnings screen to be displayed during Synchronize, Import or Export:

An Organizer category for a task has more than 12 characters.

Warning

The Zaurus Label for a To Do is mapped, default, to the Categories in Organizer. The Zaurus Label may have no more than 12 characters. If an Organizer category has more than 12 characters, a Warning is issued.

When a change is made to this Zaurus To Do entry, and then synchronized with Organizer, the Organizer category is changed to the truncated label.

The resulting To Do entry on the Zaurus has a label with the category truncated to 12 characters.

Make the category name which is used by the Task contain only 12 characters or less.

Organizer To Do entries use more than 32 categories total.

Error

The Zaurus Label for a To Do is mapped, default, to the Categories in Organizer. The Zaurus has only spots for a total of 32 labels. If all the To Do entries in Organizer use more than 32 categories, an error will occur. The To Do entries which push the number of labels past 32 will not be communicated.

Use a To Do filter which reduces the To Do entries communicated. With less To Do entries being transferred, possibly, fewer categories will be in use.

OR

Reduce the total number of used categories in Organizer to 32 or less.

Individual Organizer field contains more than 2K (kilobytes ) worth of data.

This is a fairly rare occurrence.

Error

Each Zaurus field can only contain a maximum of 2K worth of data. If you have an Organizer entry which has an individual record with more than 2K of data, an error will occur and that record will not be communicated to the Zaurus.

Identify the offending record and delete some of the data.

An Organizer To Do has more than 5 Categories associated with it.

Organizer To Do categories are mapped, by default, to Zaurus To Do labels. A Zaurus To Do may only have 5 Labels assigned to it. An Organizer To Do which has more than 5 categories will be communicated to the Zaurus with only 5 categories. The rest will be truncated.

Zaurus Appointment Start Time is after the End Time.

While Zaurus allows a Start Time which is after the End Time for the same day, Organizer does not. When an appointment in this condition is communicated to Organizer, the resulting Organizer record will be from the Start Time to the end of that day. The End Time will remain the same, but the duration of the appointment will bring the appointment to the end of the day.

A Zaurus To Do priority is added as something other than No Priority, 1, 2, or 3, which are the only priorities available in Organizer.

Outlook - Zaurus Application Mapping

After clicking the Change button from the Application Mapping screen, you can modify this information.

After selecting a contact file and hitting the change button, you will be able to change the folder and category information.

Each Zaurus contact file must have a different Outlook Folder/Category combination. Select the Folder and the Category for this Zaurus contact.

Multiple Contact Files in Zaurus

The way the Zaurus handles contact files is different than the way MS Outlook does. Zaurus has three distinct contact files and three data files which can be used as contact files. SynchroLynx makes use of Outlook's folders and categories to keep track of the different contact files on the Zaurus.

Each Zaurus contact file selected under Application Mapping must synchronize contacts with a separate Folder and/or Category. All Zaurus contact files may synchronize with the same Folder if they are all using different categories. Zaurus contacts may synchronize with the same categories if they are using different Folders.

* Please note, the default field mapping has Outlook Subject mapped to Zaurus description. The Outlook Subject field is not a required field, whereas the Zaurus Description field is required.
