Importing / Exporting Data To and From Other PC Applications

RuppLynx can import data from your unit and convert it into a variety of standard PC formats, including CSV, dBase III, SDF and RTF. These formats can be imported by most PC applications. To save you a conversion step, RuppLynx also converts data into specific program formats like Act!, Schedule+, Sidekick, Commence, Goldmine and Maximizer. Likewise, RuppLynx can take files from your PC applications and convert them to be transferred to your unit.

If this version of RuppLynx does not support the program you use, call Rupp Technology to find out if there is an add-on module available.

Importing Data From a PC File

1. Launch the application into which you want to import data.

2. Click on the File menu and select Import. The Import File Window will be displayed.

3. Use this window to specify the type of file you are importing and where it is located. Click OK. The Field Mapper window will appear.

4. Use the Field Mapper to specify where data from each field of the imported file will appear on your unit. (See "How to use the Field Mapper," later in
this chapter.)

Exporting Data to a PC File

1. Launch the application that contains the data you want to export.

2. Click on the File menu and select Export. The Export File Window will be displayed.

3. Use this window to specify the type of file you will create and where it will be placed. Click OK. The Field Mapper window will appear.

4. Use the Field Mapper to specify where each field from the Source file will appear in your PC file. (See "How to use the Field Mapper," next page.)

How to Use the Field Mapper

It is unlikely that the PC file will have the exact same field structure as your unit’s application. Field mapping allows you to specify where each imported
or exported field is ‘mapped.’ The Field Mapper window contains two lists
of fields:

Current fields — shows the fields in your unit’s application.

Imported/Exported Fields — shows the available fields in the PC file. When there is no field information in the import file, this list may show the actual field data in the first record of the import file, so you can see which field is which.

To Map a Field:

1. Highlight a field where the data will be coming from (the Source).

2. Highlight the corresponding field that you want to send the data to (the Target).

3. Click Add.

To Combine Two or More Fields Into One

You can map two fields into one field. Example: Your PC file has two name fields: "Firstname" and "Lastname." You want to send this data to your unit, which has only one name field: "Name." To do this:

1. Highlight the first Source Field
(i.e. "Firstname").

2. Highlight the Target Field (i.e. "Name") and click Add.

3. Now highlight the second Source Field (i.e. "Lastname").

4. Highlight the Target Field (i.e. "Name") and click Add. Data from the two fields will now be sent to the same field.

To Split One Field Into Two or More

You can map one field into two. Example: Your unit’s application has only one name field: "Name." You want to send this data to your PC, which has two name fields: "Firstname" and "Lastname." To do this:

1. Highlight the field you want to split
(i.e. "Name").

2. Click on Split. The Split Field window will appear.

3. Indicate the number of fields that you want to split the Source Field into, and where to split them (at a carriage return, space, tab or comma).

4. Click OK. The original Source Field will now appear as two or more split fields. You can now map these split fields the same way you would a normal field.

Additional Functions

Map All — If the Source and Target fields already have a one-to-one correspondence, click this button to amp them all at once.

Clear — If you map a field incorrectly, click this to start again.

Clear All — To remap all the fields, click this to clear all currently mapped field selections.

Field Setup Tab — Some file formats require additional field information. If your import/export requires this additional information, this tab will appear in black. Otherwise it will be gray (can’t be selected).

Date Format Tab — A common problem when importing dates is that date fields come in a variety of formats. Click on this tab to specify which date format to use. Then Import can interpret the date correctly.

Merge Options Tab — Use this to specify whether the Source File overwrites or appends the records currently saved in your PC. You can also specify how multiple Import Fields are mapped into a single field.

Saving & Loading Import/Export Settings

Once your Field Mapper settings are correct, you can save these settings so that you don’t have to repeat the process the next time you want to import/export the same type of file. To do this, click Save to name the settings. To retrieve these settings in the future, click Load.

Note: RuppLynx comes with many common map settings already loaded. Click Load to see a complete listing.

When you are ready to import/export, click Import or Export.

Using the IR Clipboard

If you have an IR link, you can transfer records directly to your PC clipboard and paste them into PC applications such as Microsoft Word or WordPad via the clipboard. (This feature does not work with a cable link.) You can even copy scrapbook pictures and telephone/contacts/user file records to the clipboard.

To Transfer Data From Your Hand-Held Unit to Your PC Clipboard:

1. Make sure your IR connection is in place.

2. Click on the File menu, select Preferences and choose General Options. From this window, enable Comm Port Polling.

3. Select the file to be transferred from your hand-held unit.

4. Touch the SEND screen button and choose Unit to Unit.

The file can now be pasted into any Windows application on your PC.
