To view an Index of entries, click on the Index button from any Editor Toolbar. Choosing the Sort Order Entries are sorted based on the first field in the index. For instance, if the first field is a name, the entries will be sorted in alphanumeric order by that name field. If the first field is a date, the entries will be sorted in chronological order by that date field. You can change the first field (or any other field displayed in the index) by clicking on the title bar of that column. A menu will appear under your mouse pointer from which you can pick another field. Finding an Entry Once you choose the sort order, the index will display entries that begin with a specific letter or are dated with a specific month. Touch on the index tabs at the top of the screen to display a different starting letter or month. Select the '#' tab to display all entries not beginning with 'A' - 'Z'. If there are no entries for a given letter, that tab will be grayed out. Use the scroll bars to move the display up and down or left and right. Example: To find a person in your Contacts file whose last name begins with "S" : 1. Open the Contacts application editor and click the Index button on the application toolbar. 2. Click on the title bar of the first column of the index to see a menu of all the fields in your Contacts file. Select "Last Name." All the entries in your Contacts file will now be sorted by last name. 3. Click on the "S" tab to see the last names beginning with the letter "S." Scroll through the names to find the entry you seek. Double-click the name to view all your information about this contact. Example: To find an appointment you scheduled for July: 1. Open the Appointments application editor and click the Index button on the application toolbar. 2. Click on the title bar of the first column of the index to see a menu of all the fields in your Appointments file. Select "Date." All your appointments will now be sorted by date. 3. Click on the "July" tab to see the appointments for that month. Double-click an appointment to view all the details about this entry. Note: when entries are sorted by date change the Year Filter as required to show only entries in that year. Go To To go to an entry, highlight the required entry by clicking on it, then select the Go To button. Or double-click the entry you want to go to. Changing Field Widths You can change the width of a field by moving the vertical field separator lines. When you place your pointer on one of these lines, it will change to a left/right arrow. Now click and hold down your left mouse button to drag the line where you want it. These changes are saved when you leave index mode, and kept for future use when indexing the file again.
