How to Transfer and Back Up Files

Step 1 -- Launch the Transfer Files Application

All file transfers and back ups between your PC and your K-PDA/Organizer are done with one central application.

To start, click the Transfer icon on the main toolbar.

If you need to switch from an application toolbar to the main toolbar, click your right mouse button with the pointer held over the toolbar.

The Transfer Files Window will appear. Files in your PC are shown on the left and files in your K-PDA/Organizer are shown on the right. The menu and screen buttons let you select all the parameters of the transfer. Click on the Help button if you have a problem.

Step 2 -- Link Setup

Click on Link Setup to configure how your PC and K-PDA/Organizer will transfer data.

Receive Mode: This refers to files received by your PC. Choose Overwrite to replace the files currently in your PC with the ones you transferring, Append to add the transferred files to those currently in your PC, or Merge to add only those transferred files that are different from any existing entries. (This is like appending, except it eliminates duplicate entries.) You can also choose to Back Up all transferred files to a special directory in your PC.

Send Mode: This refers to files sent by your PC to your K-PDA or Organizer. Choose Overwrite to replace the files currently in your unit or Append to add the transferred files to those currently in your unit. (Your K-PDA or Organizer cannot merge entries, so the "Append" command can lead to duplicate entries.)

Comm Port: Specify the Comm Port you are using to link from your PC. If you don't know the port number, select Auto Detect and follow the on-screen instructions.

Quit Link when done: Select this box to have your K-PDA/Organizer automatically quit PC Link mode when transfer is finished.

Step 3 -- Select the Files to Transfer

· To create a compressed, PC backup file of the data in your K-PDA or Organizer, skip to Step 4 -- Back Up Your Data .

· To send files to or from the PC Files Area of a Zaurus, simply use the screen buttons at the lower left of the window. Click on Send to send the files to your Zaurus, or Receive to receive the files from your Zaurus.

1. Select the file(s) you wish to transfer. If you are transferring files from your K-PDA/Organizer, use the menu on the right. If you are transferring files from your PC, use the menu on the left.

To select one file: click on the file (I.e. "Contacts").

To select a range of files: click on the first file, hold the Shift key and click on the last file.

To choose several separated files: hold the Ctrl key and click on the required files.

To select all files: Click on the appropriate Select All button.

2. If you use IC cards, you must specify whether the files are to be transferred to/from your unit's main RAM memory or the IC card. Touch the RAM/CARD screen button to toggle between the two choices. Do this on the side of the window from which the files will be sent.

Examples: To send a file from your PC to an IC card , select Card on the left (PC) side of the window. To send a file from your K-PDA or Organizer's main RAM memory , select RAM on the right side of the window.

3. Make sure your unit is properly connected to your PC with either a cable or infrared adapter, and that it is in PC Link Mode (if applicable). Then touch Transfer on your PC screen. To receive files into your PC, use the button on the right of the screen with the arrow that points toward the PC menu. To send files to your K-PDA or Organizer, use the button on the left of the screen with the arrow that points toward the K-PDA/Organizer menu.

Note: If you have problems establishing the link with your PC, or you get an error message like 'Organizer not connected or responding,' read the Troubleshooting section at the end of this chapter.

Step 4 -- Back Up Your Data

RuppLynx can make a complete backup of your unit that includes not only data, but also settings for such items as the Filer on a Zaurus. When you perform a backup, all the information is stored and compressed within one PC file. This file can then be decompressed and the data restored to your unit if it is ever necessary. You cannot use this file to edit, print, import or export data. (Follow the instructions in Steps 2 and 3 to transfer data that can be edited in RuppLynx.)

To back up your data

1. If you have not already used Link Setup, do so now (see Step 2 -- Link Setup). Make sure your unit is properly connected and in PC Link Mode (if applicable).

2. Click the Backup button at the bottom of the screen. A window will appear requesting you to specify a Backup File Name. The name can consist of up to 8 characters (do not change the .BKU suffix.) We recommend that you use today's date to create the file name. That way you will always know when you last backed up your data. When you are done, click OK.

Example: for October 31st, 1997 specify "31-10-97.bku" as the backup file name.

3. You will be reminded that add-on software is not backed up. Click OK.

4. Your Backup File will be stored in your PC.

Note: If you have problems establishing the link with your PC , or you get an error message like 'Organizer not connected or responding,' read the Troubleshooting section at the end of this chapter.

To restore a Backup File

Note: restoring a backup overwrites all data on your unit.

1. If you have not already used Link Setup, do so now (see Step 2 -- Link Setup). Make sure your unit is properly connected and in PC Link Mode (if applicable).

2. Click the Restore button at the bottom of the screen. A window will appear requesting you to specify which Backup File to use. Select a file, then click OK.

3. Any existing data in your unit will be replaced by the data stored in your Backup File.

Note: If you have problems establishing the link with your PC, or you get an error message like 'Organizer not connected or responding,' read the Troubleshooting section at the end of this chapter.

Step 5 -- Close the Transfer Files Window

To close the window, select Done at the bottom right of the window.

Troubleshooting Your PC-Organizer Link

If you get an error message when you try to transfer files, like 'Organizer not connected or Responding,' check the following.

1. The cable or infrared adapter is securely connected at both ends.

2. The PC Link path is correct and you are in PC link mode (if applicable). To do this for your...

Zaurus - Touch Tools and select PC Link.

OZ-9600 - Press 2nd-Peripherals to set PC link path.

OZ-65xx/95xx/96xx - Press MENU-Peripherals and select GLOBAL SETTINGS to set PC link path

YO-xxx/ZQ-xxxx - (Not applicable)

3. The Comm Port setting in Link Setup is correct.

4. If you are still having trouble with communications using an Infrared unit and your PC is using a 16550 buffered UART comm port, add the following two lines to the [386Enh] section of your Windows SYSTEM.INI file.

COM2FIFO=0 -- Underlined number is the comm port used to link to your K-PDA/Organizer

COM2BUFFER=1024 -- If you are running DOS, change the value from 1024 to 2048. This turns off the internal buffer to allow infrared transfer.

5. If you get the message 'The selected Comm Port is in use by another device or your mouse,' you must set the correct comm port in Link Setup.

6. If Network messages cause connection problems with your Unit, you can block these messages. For example, on a Novell network, issue the following command at the DOS prompt after logging in: CASTOFF ALL

7. If you are backing up or receiving a file from a 9500/9600 series Organizer that never finishes receiving, first break communications by pressing the ON key on your Organizer. RuppLynx will time out after 5-10 seconds. Then locate empty Free Field Names in the application which failed, and enter characters in these fields. Even a single character field name will correct the problem. Or, if the empty Free Field Names are at the end of the field list, reduce the total number of fields in the file.
